Pod Bros Media LLC (“Pod Bros,” “we,” “us”) is a podcast and video production company based in Scottsdale, Arizona. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to podbrosmedia.com and to our related services, including the Pod Bros Command Center client portal (dashboard.podbrosmedia.com) and PitchDeck (pitch.podbrosmedia.com).

The short version: we collect the information you give us and some standard analytics data, we use it to run our business and serve our clients, and we never sell it.

Information We Collect

Information you give us directly. When you fill out a form, book a call or studio session, take our Podcast Growth Audit quiz, download the Pod Bros Blueprint, or become a client, we may collect:

  • Your name, email address, and phone number
  • Information about your podcast, show, or business that you share with us (for example, in the audit quiz or on a strategy call)
  • Booking details for studio sessions and calls
  • Billing information when you purchase a service (handled by our payment processor, Stripe — we do not store full card numbers)
  • Account information if you use the Command Center portal or PitchDeck

Information collected automatically. Like most websites, we use cookies and similar technologies to understand how visitors use the site. This includes things like pages visited, approximate location, device and browser type, and how you found us.

Cookies & Analytics Tools We Use

We use the following third-party tools on our site, each of which may set cookies or collect usage data:

  • Google Analytics 4 (GA4) and Google Tag Manager — site traffic and usage analytics
  • Meta Pixel — measures the effectiveness of our advertising on Facebook and Instagram
  • Microsoft Clarity — anonymized session recordings and heatmaps that help us improve the site
  • Embedded booking calendars and forms (served from link.podbrosmedia.com via our CRM platform) — these process the information you type into them

You can control cookies through your browser settings, including blocking or deleting them. You can also opt out of Google Analytics with Google’s browser add-on, and adjust ad preferences in your Facebook settings. Blocking cookies may affect how some parts of the site work (for example, booking widgets).

How We Use Your Information

  • To respond to inquiries and schedule calls, sessions, and shoots
  • To deliver the services you purchase, including producing, editing, and publishing your content
  • To send you things you requested, like the Pod Bros Blueprint or your quiz results
  • To send marketing emails and text messages, if you’ve opted in (see the next section)
  • To process payments, send invoices, and maintain business records
  • To understand how our website is used so we can improve it

Email & SMS Communications

If you give us your email or phone number and consent to receive communications (for example, by checking the consent box on a form or quiz), we may contact you by email and/or SMS. Message and data rates may apply, and message frequency varies.

Opting out is easy: reply STOP to any text message to stop receiving texts, or click the unsubscribe link in any marketing email. You can also email support@podbrosmedia.com and we’ll remove you. We do not share your mobile number with third parties for their own marketing purposes.

Service Providers We Work With

We share information with a small number of service providers who help us run the business. They are only permitted to use your information to provide services to us:

  • HighLevel / LeadConnector — our CRM, which stores contact records and powers our forms, booking calendars, email, and SMS
  • Stripe — payment processing; your card details go directly to Stripe and are governed by Stripe’s privacy policy
  • Google — analytics (above) and Google Drive, which we use to share project files and deliverables with clients
  • Podcast and video platforms (such as Transistor and YouTube) — when we publish or distribute content on a client’s behalf as part of their service

What We Don’t Do

  • We do not sell your personal information.
  • We do not share your information with third parties for their own marketing.
  • We only disclose information beyond the providers above if required by law or to protect our legal rights.

Command Center Client Portal

Clients with access to the Pod Bros Command Center (dashboard.podbrosmedia.com) have an account with login credentials, project information, deliverables, and communication history. This data is used solely to manage and deliver your engagement. When your engagement ends, you can request an export of your portal data by emailing support@podbrosmedia.com.

PitchDeck

PitchDeck (pitch.podbrosmedia.com) is our podcast guest-matchmaking tool. When you use it, we collect the information you submit about yourself and your show to generate your guest shortlist or full report, plus your payment information (via Stripe) if you purchase a report. PitchDeck reports are built from publicly available podcast directory data; we don’t scrape or store private information about the shows in your report.

Data Retention

We keep personal information for as long as we need it to serve you, comply with legal and tax obligations, and resolve disputes. Contact records for leads who never become clients are periodically deleted. Client project files are retained for a reasonable period after a project ends so we can support re-edits and follow-up requests, after which they may be deleted.

Your Rights & Choices

You can ask us at any time to:

  • Tell you what personal information we hold about you
  • Correct or update your information
  • Delete your information (subject to records we’re legally required to keep)
  • Stop sending you marketing communications

To make any of these requests, email support@podbrosmedia.com. We’ll respond within a reasonable time and may need to verify your identity first.

Security

We use reasonable administrative and technical safeguards to protect your information, including access controls and reputable third-party platforms. No method of transmission or storage is 100% secure, so we can’t guarantee absolute security.

Children

Our website and services are intended for business audiences and are not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a minor has provided us information, contact us and we’ll delete it.

Changes to This Policy

We may update this policy from time to time. When we do, we’ll update the “Last updated” date at the top of this page. Material changes will be communicated to active clients by email.
